Spine Label Parameters and Templates

Please note: Civica provides a default template, but does not offer support for building or editing mail merge templates.
Edit the properties of an existing template
To changes to the class number parsing properties or the mail merge printing properties of an existing template:
- From the Module Menu select Cataloguing, MARC and then Spine Label & Barcode Printing.
- Select the spine label requests you want to work with, e.g. for specific users and/or specific locations and/or specific collections. By default, the Details dialog will have the same users, locations and/or collections selected as the last time it was accessed.
- Click Tools > Parameters and Templates >Spine Labels.
- Select the template you want, and then make your changes to the properties.
- Parse call number via stored procedure. Select this option to use a stored procedure to parse LC call numbers. If this option is selected then the stored procedure may need modification to suit a site’s requirements.
- Maximum characters per line in prefix/class number/suffix specifies the number of characters to be printed on each line in the prefix, the class number and the suffix.
- Force decimal position first line. For Dewey call numbers, select this checkbox to ensure the numbers after the decimal point will display on the next line of the label. You should not need to select the box for LC call numbers.
- Suppress blank mail merge fields. Select this checkbox to suppress printing of blank mail merge fields.
- Maximum characters in title/author/description specifies the maximum number of characters to be printed in the title, the author and the description.
- Click OK.
Download a template to your PC
You can create new templates from scratch if you wish. However, to make the task easier, you can base a new template on an existing one. To download a spine label template to your PC for you to work with:
- From the Module Menu select Cataloguing, MARC and then Spine Label & Barcode Printing.
- Select the spine label requests you want to work with, e.g. for specific users and/or specific locations and/or specific collections. By default, the Details dialog will have the same users, locations and/or collections selected as the last time it was accessed.
- Click Tools > Parameters and Templates > Spine Labels.
- Select the template you want, and then click Download Template.
Upload a new template
When you are browsing to add a new spine label template to the list you must go through My Network Places, i.e. the template must be in a shared folder that all PCs in the branch can see. Do not browse directly to your PC because then other PCs will not be able to see this template.
To add a new spine label template to the list:
- From the Module Menu select Cataloguing, MARC and then Spine Label & Barcode Printing.
- Select the spine label requests you want to work with, e.g. for specific users and/or specific locations and/or specific collections. By default, the Details dialog will have the same users, locations and/or collections selected as the last time it was accessed.
- Click Tools > Parameters and Templates.
- Click Upload Template.
- Browse to find the template you want, and then click Open to add it to the list.
- Click OK.
Delete a template
To delete a spine label template:
- From the Module Menu select Cataloguing, MARC and then Spine Label & Barcode Printing.
- Select the spine label requests you want to work with, e.g. for specific users and/or specific locations and/or specific collections. By default, the Details dialog will have the same users, locations and/or collections selected as the last time it was accessed.
- Click Tools > Parameters and Templates > Spine Labels.
- Select the template you want, click Delete, and then click Yes at the confirmation prompt.
- Click OK.
Specify the default template
To specify the template to be used for the spine labels:
- From the Module Menu select Cataloguing, MARC and then Spine Label & Barcode Printing.
- Select the spine label requests you want to work with, e.g. for specific users and/or specific locations and/or specific collections. By default, the Details dialog will have the same users, locations and/or collections selected as the last time it was accessed.
- Click Tools > Parameters and Templates > Spine Labels.
- Select the template you want, click Set Default, and then click Yes at the confirmation prompt.
- Click OK.
