    To specify the general parameters for shelf check:

    1. From the Module Menu select Maintenance, Circulation and then General Parameters.
    2. Set up the Reservations (Shelf Check) parameters you want (see below for details).
    3. Click Save or Save & Close.
    Once shelf check parameters have been configured as desired, a scheduled task must be commissioned by Civica staff to automate the expiry and assignment of shelf checked items.

    Reservation shelf check active

    This specifies whether shelf check is active.

    Null means the same as No.  

    Assign item with earliest last sighted date

    If this parameter is set to Yes, when two or more available items match the shelf check assignment criteria, Spydus will assign the item with the earliest last sighted date to the shelf check assignment. This is to attempt to ensure that all items are evenly circulated.

    Assign items from closed locations

    This feature requires server version 10.5.1 or higher.  

    If this parameter is set to Yes then items from closed locations can be shelf check assigned. If this parameter is null or set to No, items from closed locations (including locations without any opening hours), items from those locations will not be shelf check assigned.

    Available copies required to preference location

    The shelf-check task will cycle through the tiers attempting to assign from a branch that has at least X copies available. If no branches in any of the tiers have X copies available, the task will decrement the copies required by 1, and cycle back through the tiers (repeating this process if required).

    e.g. The Available copies required to preference location parameter is set to 4. Per the diagram below, none of the branches in either of our shelf check tiers have 4 copies available. After failing to find a location that meets the parameter setting of 4, Spydus reduces the target by 1, to 3. Spydus fails to find a branch in tier 1 with 3 copies available, and cycles to tier 2. Here, one of the branches has 3 copies available, so Spydus will select an item from that branch to assign to the shelf check assignment.

    The configuration of the Assign item with earliest last sighted date parameter may also affect which available item from the branch is selected for the shelf check assignment.

    Reservation shelf check expiry days/minutes

    Specifies how long an item will remain shelf-check assigned. This can be in days or minutes. After this period the item will be de-assigned.

    Reservation shelf check remaining minutes

    This specifies the number of minutes before the library closes that an item can be shelf check assigned. For example, if this is set to 30 and there are less than 30 minutes remaining until the location closes, then items at this location will not be assigned.

    Reset shelf check days

    You can use Reset shelf check days to automatically restart the assignment process for reservations that have had an item assigned for a number of days — i.e. we'll clear the assignment history and assign an item.

    Reset shelf check locations automatically

    This specifies whether to automatically restart the assignment process for a reservation after all shelf check locations have been assigned.

    Null means the same as No.  
    Reset shelf check days and Reset shelf check locations automatically are used with the shelf check scheduled task. We only restart the assignment process if there's more than one item in the assignment history.

     The shelf check assignment process can also be manually restarted.
